Enterprise Archiving & Distribution for SharePoint

SeeUnity’s Enterprise Archiving & Distribution for SharePoint (EADS) enables rules-based linking, movement, or synchronization of content and metadata between SharePoint and external repositories. Content can be moved manually, or automatically based on an SharePoint event, such as a workflow or metadata trigger. Archiving moves SharePoint documents and metadata to an external ECM system, allowing it to be content managed as a document of record. Distribution offers the ability to replicate or publish/synchronize ECM content and metadata out to SharePoint, making it available for broad-based consumption and collaboration. Business Benefits

Enterprise Archiving & Distribution for SharePoint (EADS) provides value in several areas:

  • License Optimization. ECM licenses can make sharing information cost prohibitive. By publishing/replicating content to SharePoint using EADS – valuable content can be securely accessed, via SharePoint, by customers, partners and remote users.
  • Improved performance. For national and global organizations, accessing remote repositories can result in slow system performance. Automated publishing of content to local repositories can increase performance and conserve resources.
  • Increased content control. EADS publishing can provide broad read-only access to documents, while keeping write access secured to select content managers.
  • Content retention and security. Live SharePoint content can mature to become important documents of record. EADS can ensure SharePoint content can inherit rules and meet records management requirements.
  • SharePoint optimization. Over time, unmanaged content creation can lead to “SharePoint bloat”. Automated archiving reduces SharePoint’s database footprint, and reduce the confusion of content overload – without risking data loss.

Technical Features

Enterprise Archiving & Distribution for SharePoint (EADS) offers compelling technical features:

  • Automated archiving & distribution reduces human error and meets compliance requirements.
  • Repository agnostic integration supports integration between SharePoint and external platforms, including EMC Documentum and eRoom, Open Text eDOCS and Livelink, HP TRIM, Vignette VRD, and WCM Interwoven WorkSite– as well as file shares and databases.
  • Content linking ensures content remains organized and centrally stored. Published links are accessible via SharePoint, but point back to source documents in the master repository.
  • Synchronization capabilities extend version control and keep content current.
  • Multi-destination distribution can publish/replicate a single source file to many external SharePoint sites or libraries while controlling the content in a central ECM repository.
  • Manual archiving allows content or records managers to expand and define metadata, permissions, map and profile SharePoint content to and external ECM repository
  • SharePoint Content types can be defined with archiving or synchronization rules – ensuring new SharePoint content is automatically profiled, archived, and/or synchronized or linked to your master ECM repository.
  • PDF conversion can automatically transform ECM or SharePoint content and render it as a PDF document.
  • .NET architecture leverages SeeUnity’s Core Integration Services (CIS).
